1. The agreement, and who it is between
In short. These terms are a contract between you and SchoolPort. Accepting them at sign-up — or using the service — means you agree.
These Terms of Service (“Terms”) are a binding agreement between you and SchoolPort (“we”, “us”), the operator of the SchoolPort student information system. You accept them by ticking the acceptance box when you create or activate an account, or by using the service. Your acceptance is recorded together with the version date of the document you accepted.
In these Terms:
- “Service”
- SchoolPort BLUE (Broad Learning, Unified Environment), the mobile app for students and parents (the “app”), the web portal for school staff at each school’s own address (for example yourschool.schoolportsis.com), and related features.
- “School”
- The educational institution that enrolls the student and holds a separate written agreement with SchoolPort.
- “Kate”
- Key Academic Tracking & Evaluation — the optional AI assistant described in section 7.
- “Content”
- Messages, posts, files, and anything else a user submits through the Service.
2. What the Service is (and is not)
In short. SchoolPort displays and manages the school’s information — it is a window into school records, not the authority over them, and not a payment processor.
SchoolPort lets schools manage enrollment, grades, attendance, timetables, fees, and communication, and lets students and parents securely view the records that concern them. The Service is a platform: the school remains the source of truth for every official record, including the enrollment information and date of birth it collects when a student joins.
The Service is not:
- A payment processor. It displays fee balances and the school’s payment instructions, and records references you submit — but money moves only between you and the school, outside the app.
- A public social network. Communication is limited to a school’s own community.
- A source of professional advice. Nothing in the Service, including Kate’s replies, is legal, financial, or educational-placement advice.
3. Accounts and eligibility
In short. Staff and student access is issued by the school; parents self-register with a school-issued Access ID. Keep your credentials secret and your details accurate.
School staff accounts are provisioned by school administrators. Students activate access with credentials issued by their school, confirmed against the school’s enrollment record (including date of birth). Parents may create an account in the mobile app using a school-issued Access ID.
- You must give accurate information and keep it up to date.
- You must keep your credentials confidential and tell us or your school immediately about any suspected misuse. You are responsible for activity under your account unless it results from our fault.
- Student accounts are provisioned by schools with the authority of the student’s parent or guardian; a student under 18 uses SchoolPort under that school and parental supervision.
- Students under 16 (by the date of birth on the school’s enrollment record) have certain peer features restricted by default: one-to-one messages with classmates, creating study groups, sharing web links in messages, showing their photo to classmates, and saving events to the device calendar. Each restriction is enforced on our servers, may be individually re-enabled by the school, and lifts automatically at 16. If no date of birth is on record, the student is treated as under 16 until the school records one.
- One person may not hold an account in another person’s name.
4. Your school's role
In short. The school controls its records, decides who gets access, and answers for their accuracy. Record disputes are resolved with the school.
The school decides what its records contain, who is enrolled, which parents are linked to which students, and when access is granted or withdrawn. The school is responsible for the accuracy of the data it enters, including grades, attendance, and enrollment information. If you believe a school record is wrong, the school corrects it — we will pass on any request you send us. Our handling of personal data on the school’s behalf is governed by our Privacy Policy and our data-processing agreement with the school.
5. Acceptable use
In short. Use SchoolPort for education. No harassment, no objectionable content, no sharing others’ personal information, no hacking, no filter-dodging.
SchoolPort exists for legitimate educational purposes. When using messages, study groups, and course discussions you must not:
- harass, bully, threaten, or demean anyone;
- post sexual, violent, hateful, discriminatory, or otherwise objectionable content;
- share another person’s personal information without permission;
- impersonate any person, or misrepresent your affiliation with the school;
- send spam, advertising, or solicitations;
- attempt to bypass content filters, moderation, or blocking.
You also must not:
- probe, scan, disrupt, overload, or attempt unauthorized access to the Service or to records that are not yours;
- scrape or bulk-export data about other people, or use the Service to build another product;
- upload malware or use the Service to commit any unlawful act.
Content or conduct that endangers a child is dealt with under our Child Safety Standards, including immediate termination and, where the law requires, reporting to authorities.
6. Your content, moderation, and reporting
In short. You own what you post; we get the licence needed to run the service. Everything is filtered, everything can be reported, anyone can be blocked, and we act on reports within 24 hours.
You keep ownership of Content you post. You grant SchoolPort a non-exclusive, worldwide, royalty-free licence to host, store, reproduce, display, and transmit that Content solely to operate and improve the Service — the licence ends when the Content is deleted, except for copies in expiring backups and records we must keep for safety or legal reasons. You are responsible for the Content you post and must hold the rights to it.
- Messages and posts pass through automated filtering before others see them.
- Every message and post can be reported in the app.
- We review reports and act on objectionable content within 24 hours, including removing content and ejecting the user who posted it.
- You can block another user at any time, which stops delivery in both directions.
We may remove any Content or suspend or terminate any account that violates these Terms, without prior notice where necessary to protect other users. We are not obliged to store or back up Content you have deleted.
7. Kate — the AI assistant (Key Academic Tracking & Evaluation)
In short. Kate is optional, for parents only, and can be wrong. Her answers are information, not official records — the school’s records always prevail.
Kate (Key Academic Tracking & Evaluation) is an optional AI assistant for parent accounts that answers questions about your own linked children’s school information. By using Kate you understand and agree that:
- Kate’s replies are generated automatically and can be inaccurate, incomplete, or out of date. They are an aid to understanding, not a source of official records; the school’s records always prevail.
- Your questions and your linked children’s relevant records are processed by the AI providers named in our Privacy Policy (section 5) to generate each reply.
- Kate does not provide legal, medical, financial, or educational-placement advice, and you should not rely on her replies for decisions with serious consequences without confirming with the school.
- Kate’s usage is rate-limited and her replies are safety-filtered; attempting to misuse Kate to generate harmful content violates section 5 (Acceptable use).
8. Fees and payments
In short. The app shows balances and payment instructions; the money itself goes directly to your school. Payment disputes are between you and the school.
SchoolPort displays fee balances and payment instructions on the school’s behalf but does not collect or process payments. Payments are made directly to the school through the channels it publishes; you may record a payment reference in the app so the school can match your payment. Any dispute about a fee, a payment, or a receipt is between you and the school, and the school’s fee records prevail over what the app displays if they ever differ.
9. Privacy
In short. How we handle personal data is in the Privacy Policy, which is part of this agreement.
Our collection and use of personal data — including student enrollment information and date of birth, the records your school keeps, and the data processed by Kate — is described in our Privacy Policy, which forms part of these Terms. Where these Terms and the Privacy Policy overlap on a privacy matter, the Privacy Policy governs.
10. Intellectual property and licence
In short. SchoolPort’s software and branding are ours. You get a personal licence to use the app for its educational purpose — not to copy, resell, or reverse-engineer it.
SchoolPort, its software, design, logos, and branding are our property or that of our licensors, protected by copyright and other laws. We grant you a limited, non-exclusive, non-transferable, revocable licence to use the app and portal for their intended educational purpose. You may not copy, modify, distribute, sell, lease, or reverse-engineer the Service except where the law permits despite this clause.
If you send us feedback or suggestions, we may use them without restriction or compensation — that never includes personal data, which stays under the Privacy Policy.
11. Availability, updates, and changes to the Service
In short. We aim for reliability but can’t promise zero downtime. The app updates itself with fixes; features may evolve. We won’t remove something important without notice.
We work to keep the Service available and fast, but it may be interrupted for maintenance, updates, or events outside our control, and we do not guarantee uninterrupted operation. The mobile app may automatically download security and bug-fix updates. We may add, change, or retire features as the Service evolves; if we discontinue a feature that materially affects how you or your school use SchoolPort, we will give reasonable advance notice through the app or the school.
12. Termination
In short. Leave anytime — parents can delete in-app. Schools control student and staff access. We can suspend accounts that break the rules.
You may stop using SchoolPort at any time; parents can delete their account in the app (Settings → Account → Delete account) or via our account deletion page. Schools control the provisioning and closure of staff and student access.
We may suspend or terminate access for violation of these Terms, at a school’s instruction, or where required by law — with notice and a chance to respond except where immediate action is needed to protect users or the Service. Sections that by their nature survive termination — including intellectual property, disclaimers, limitation of liability, and governing law — survive.
13. Disclaimers
In short. The Service is provided “as is”. School records are the school’s responsibility; AI answers can be wrong.
The Service is provided “as is” and “as available”, without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement — except where a warranty cannot be excluded by law. We do not warrant that the Service will be error-free or uninterrupted, that the school’s records are accurate (that is the school’s responsibility), or that Kate’s AI-generated replies are correct.
14. Limitation of liability
In short. We’re not liable for indirect damages, and our total liability is capped. Nothing limits liability the law says can’t be limited.
To the maximum extent permitted by law, SchoolPort is not liable for indirect, incidental, special, consequential, or punitive damages, loss of profits, or loss of data caused by events outside our reasonable control. Our total liability for all claims arising out of the Service is limited to the amount the school paid for the Service in the twelve months before the claim or, for users who paid nothing, USD 100.
Nothing in these Terms limits or excludes liability that cannot be limited by law — including for death or personal injury caused by negligence, fraud, or, where applicable law so provides, our obligations regarding children’s data.
15. Your responsibility for misuse
In short. If your deliberate misuse of the service causes a third-party claim against us, you cover the resulting costs. Ordinary use never triggers this.
If a third party brings a claim against SchoolPort caused by your deliberate violation of these Terms — for example, Content you posted unlawfully or an attack on the Service — you agree to compensate us for the reasonable costs and damages that directly result. This clause does not apply to ordinary use of the Service, to students, or where the law does not permit such a clause against a consumer.
16. Governing law and disputes
In short. Liberian law governs. Talk to us first — most issues are solved directly; otherwise the courts of Liberia decide.
These Terms are governed by the laws of the Republic of Liberia. Before starting any formal proceeding, contact us at the address in section 18 and we will try in good faith to resolve the dispute within 30 days. Unresolved disputes fall under the jurisdiction of the courts of Liberia. If you live in a country whose law gives you mandatory consumer protections or a right to sue locally, nothing in this section takes those away.
17. General provisions
In short. The usual legal housekeeping: severability, no waiver, assignment, and what makes up the entire agreement.
- Severability. If any provision of these Terms is found unenforceable, the rest remain in full effect, and the provision is enforced to the maximum extent permitted.
- No waiver. Our not enforcing a provision is not a waiver of our right to enforce it later.
- Assignment. You may not transfer your account or these Terms to anyone else. We may assign these Terms as part of a merger, acquisition, or sale of the Service, and will notify you if that happens.
- Entire agreement. These Terms, the Privacy Policy, and the Child Safety Standards are the entire agreement between you and SchoolPort about the Service. Schools additionally have their own written agreement with us; where that agreement conflicts with these Terms for a school, the school agreement governs.
18. Changes and contact
In short. Material changes are posted with a new version date and re-accepted in the app. Reach us at support@schoolportsis.com.
We may update these Terms. Material changes will be posted here with a new version date, and where a change materially affects your rights we will ask you to accept the new version in the app; your acceptance of each version is recorded. Continued use after a non-material change means acceptance.
Questions: support@schoolportsis.com. A registered postal address will be published here when Liberian company registration is complete; until then, write to that email. Students and parents use SchoolPort BLUE; school staff use their school’s own portal address (for example yourschool.schoolportsis.com).
